Data Import Instructions

For Access
 
Step One - Set Up New Database
  • Click on File.

  • Click on New Data Base.  

  • Type in the Database name of your choice in the File Name Box.

  • Give the Database name an extension of mdb.  

  • Click on OK. 

Step Two- Importing File
  • Click on File.

  • Click on Import.

  • Click on Text Delimited (Note that you can only use Text Delimited files to ensure error free import).

  • Click on OK.

  • Place your diskette from the show in Drive A:.

  • In the Drive Dialog Box choose Drive A:.

  • In the Files of Type Dialog Box choose Delimited Text.

  • In the File Name Dialog Box click on your file (1234.txt).

  • Click on Import.

  • Make sure that Create New Table is toggled on.

  • Make sure that the First Row contains Field Names is toggled off.

  • Click on OK.

  • At this point your text file will import and should give you a message of how many records imported and if there were any errors.

  • Click on OK in your message window that appears.

  • Click on Close in the select File Dialog Box.

Step Three-Creating Mailing Labels
  • Click on the Report Tab.

  • Click on New.

  • Click on the Down Arrow (¯) in the Select a Table / Query dialog Box.  The file that you just imported from your diskette will appear. Click on that file.

  • Click on Report Wizard.

  • Click on Mailing Labels.

  • Click on OK. A Mailing Label Wizard Dialog Box will appear.

  • You will need your Record Layout Sheet.  The fields that are necessary for mailing labels are marked on the Record Layout with 
    the hand symbol
    .

  • The Available Fields Dialog Box references to the same corresponding fields on your Record Layout.

  • Click on the field that you wish to appear in your mailing label and click on the (>) button.  This will transfer the field to the label appearance box.

  • Do this on all desired fields clicking on “space” and “new line” when necessary.

  • An example of how the Label Appearance Box should look is on the bottom of your Record Layout.

  • Once all fields are inserted click on Next.

  • This step gives you the option of sorting by field number.

  • Click on Next.

Step Four-Formatting Mailing Labels
  • This option lets you choose your mailing label size.

  • Click on Next. This option lets you choose the font style and size.

  • Click on Next.

  • Click on Finish.  Your mailing labels are finished.

  • Click on File, Click on Print.
