Data Import Instructions
For Microsoft Outlook |

Instructions
for importing your sales leads into Microsoft Outlook.
Step One -
Retrieve
File:
-
Open
Excel.
-
Click
File Menu, click Open.
-
Change
to location of your file - directory or drive (i.e.: A:).
-
Change
"Files of Type" to Text Files (.txt).
-
Select
your file.
-
Click
Open (skip this step with version 4.0 - for
4.0 only: click on the text button in the lower right hand
corner).
Step
Two - Import
Into Excel:
-
The
Text Import Wizard is now open (3 steps).
-
Step
One - verify DELIMITED is checked, click NEXT.
-
Step
Two - uncheck TAB, check COMMA (text will fall into columns
in the preview window), click NEXT.

Step
Three - using
the scroll bar, scroll the preview window all the way to the
right. Press and hold down the shift key. CLICK on
the last column in the preview window. This should
turn all the columns black. Change "Column data format" to
"Text", click FINISH.

Click
File Menu, click Save As.
-
Change
"Save as type" to CSV (Comma delimited), click Save.
-
When
a gray box pops up ("...may contain features..."), click YES.
-
Close
Excel - DO NOT save changes.
Step Three - Import Into Outlook:
-
Start
Outlook.
-
Create
a new folder under Contacts. Right click on the
Contacts folder located on the Outlook folder list.

Click
File Menu, click Import/Export.
-
The
Import/Export Wizard will open.
-
Select
"Import from another program or file", click NEXT.
-
Select
"Comma Separated Values (DOS)", click Next.
-
In
the file box, browse for the file name you created in Step
One.
-
Choose
one of the duplicate "Options" listed, click Next.
-
Select
destination folder for your new contacts to go. Place
them in the new folder you created above.

Choose
"Map Custom Fields" in next window.
-
Select
values you want to import. To add values, drag and drop
values from the left side to the right side. To remove
fields, drag and drop values from the right side to the left
side. You
may have to open the items on the right by clicking on the + (plus sign) that is next to the item.

Click
OK when finished.
